Reporting to (job title): Manager, International Strategy
Objective of role: To support the international team with travel arrangements, delegations and the annual International Conference.
Key Activities & Responsibilities
- Organise travel for international trips and delegations, including logistics, coordination with delegates and their offices, collating and preparing briefing packs.
- Provide briefings, logistics and administrative support for incoming visits and meetings.
- Lead the planning and execution of the TheCityUK’s International Conference.
Duties
- Lead on travel arrangements and logistics for international trips and delegations, working with the travel agent and team members to organise various aspects of our visits, including acting as the key liaison point with members, coordinating with our international partners on events and meetings, and working with transport companies and hotels to put in place all the required arrangements.
- Prepare delegation packs, briefings and documents for incoming meetings and overseas visits. Take notes during meetings and assist with follow up as needed.
- Proactively update the CRM database with key contacts for overseas visits and other meetings ensuring information is kept up to date.
- Conduct administrative activities for travel and incoming visits, such as preparing guest lists for events, coordinating replies, tracking attendance and invitation acceptances and working with the Events Team to ensure a coordinated approach.
- Manage the expenses and budgets for international visits and delegations in line with company policy.
- Lead on the International Conference, working across the organisation to set up a coordinated approach to its design and execution. This will involve developing themes for the conference, identifying speakers, developing invitee lists, supporting the briefing of speakers, the promotion of the event, logistics, content for the conference app and liaising with sponsors, together with other teams across the organisation.
- Build and maintain productive working relationships with members, partners, internal and external stakeholders and service providers.
- Produce well-presented correspondence and other documents accurately and to meet agreed timelines.
- Make full use of Microsoft Outlook system and new tools introduced to support our work.
- Provide ad hoc cover for other administrative staff as required.
- Undertake other duties which may reasonably be requested and are commensurate with the role.

- International Team, CEO’s office, Events Team, Communications Team, Membership Insights Team, Media Team, Finance Director, Public Affairs Team, Policy Team.
External:
- TheCityUK members, UK Government and public sector representatives, think tanks, trade associations, travel and IT support agencies.
Person Specification
- Strong organisational skills and an excellent eye for detail
- Travel, events and administrative experience within a professional environment
- Resilient, adaptable and a team player approach to issues, flexibility, enthusiasm, imagination, and a ‘can do’ manner
- Strong verbal and written communications skills to be able co-ordinate input from multiple sources and liaise with a wider range of stakeholders
- A professional, reliable approach, with the ability to show initiative when needed
- Ability to work well in a team and across an organisation in a fast-paced environment
- Ability to multi-task, prioritise and work to deadlines
- Committed to the values of the organisation
- Ability to quickly establish effective relationships with colleagues and senior individuals across a range of organisations
- Interest in the financial and related professional services industry
